Security is not a trade-off against productivity. You can adopt Copilot and still protect sensitive information, respect privacy, and meet compliance needs. The key is to set clear boundaries, apply built-in Microsoft 365 controls, and keep rules simple enough that people follow them.
Start with clarity about what Copilot can see
It follows Microsoft 365 permissions. If a user cannot open a file, Copilot cannot use it. This means access reviews are the first control that applies. Remove broad membership from sensitive sites. Align Teams and SharePoint around roles, projects, and functions. Avoid everyone or company-wide access unless content is truly public inside the organisation.
Classify information simply
Use labels such as public, internal, confidential, and restricted. Apply sensitivity labels to confidential and restricted content so encryption and forwarding controls are enforced. Staff do not need a long manual. They need two rules. Put content on the correct site. Apply the right label. Technology will do the rest.
Prevent accidental sharing rather than punish it
Data loss prevention policies can block or warn when personal data, payment details, or member numbers leave approved channels. Start with clear patterns and few rules. Too many alerts fatigue. A few strong ones build confidence.
Control the conditions under which access is granted
Conditional access should require multi-factor authentication and compliant devices, especially for elevated rights users. This reduces the risk of account takeovers and keeps the environment predictable.
Make prompt hygiene a habit
Staff should avoid entering unnecessary personal or sensitive details into prompts. They should point Copilot to approved locations rather than pasting raw information. Share short examples of safe prompts. Put them where people work, not in a forgotten policy folder.
Record your decisions
Keep a lightweight log of your rollout. Note the data locations in scope, the access reviews completed, the labels used, and the training delivered. This file helps answer questions from auditors, trustees, and boards without scrambling.
Most importantly, remove friction wherever you can
Security that gets in the way will be bypassed. Security alongside normal work will be used. Use defaults to your advantage. Apply labels automatically where possible. Keep the naming convention straightforward. Provide staff with prompts that reference the right sites. The fewer decisions they need to make, the less likely they are to make risky decisions.
When security is clear and practical, Copilot can do its job without opening the doors you want closed. That balance is achievable with your tools.
Reliable Networks configures these controls, aligns them to your risk profile, and trains teams to use Copilot effectively within safe boundaries.
